2012 IRP Annual Meeting: Information for Attendees

Meeting Materials

Many of the meeting materials and agendas are available online on the 2012 Annual Meeting Handouts page. Don’t forget to review them and download any items you want to have with you at the meeting. Materials include proposed ballots, a proposed bylaws change, and the draft International Non-Apportioned Commercial Vehicle Agreement, which will all be discussed during the meeting. Also posted are "Roundtable Topics and Questions,” available for you to prepare for those discussions. Feel free to bring any samples or examples to share with attendees for the roundtables.

 

Meeting Agenda

See the IRP website for the current version of the agenda, which includes descriptions of sessions and speaker names. A copy of the agenda will also be provided onsite to all attendees during check-in at the registration desk.

Transportation from Airport

Options for transportation from the airport:

  • New Orleans Airport Shuttle: New Orleans Airport Shuttle has a discounted rate of $35 per person round trip for attendees of the IRP Annual Meeting. This is a discount of $3.00 per person for this shared ride van service to and from the Louis Armstrong New Orleans International Airport. Reservations must be made online through the IRP reservations page at least 24 hours prior to your flight arrival time.
  • Taxi: The cost of taking a taxi from the airport to the hotel is $33 one-way (for 1-2 people) or about $14 per person for 3 people and up.
    IRP-Funded Attendees: As this is around twice the cost of the shuttle, reimbursement will only be made for shared taxi rides with an IRP-funded colleague. Otherwise, reimbursement will be for just the cost of the shuttle.

Conference Registration

Conference registration will be on the 16th floor in front of the International Ballroom. Registration will be open 2:30 – 7:30 pm (Wednesday, May 16) and 7:30 am – 5 pm (Thursday, May 17).

Attendees will receive name badges and conference materials at registration. Please remember that the name badge serves as the ticket to all conference programs and meals. Please wear it at all times and bring it to the opening reception and to breakfasts.

 

Opening Reception

Be sure to attend the Michael D. "Mick” Ramirez IRP Volunteer of the Year Award Opening Reception on Wednesday, May 16 at 6 - 7:30 pm in the DoubleTree’s Crescent Ballroom on the 16th floor. Before heading out to dinner, enjoy light hors d’oeuvres, reconnect with old colleagues and meet new contacts during this opening reception.

Public Service Project: Donations for Families Helping Families of Greater Baton Rouge

As part of the 2012 IRP Annual Meeting, IRP will be collecting donations for Families Helping Families of Greater Baton Rouge. See the wish list, which includes items such as kids’ books, kids’ DVD’s, flashlights, toys, umbrellas, and bath cloths. Families Helping Families of Greater Baton Rouge is a non-profit, family-directed resource center for individuals with disabilities and their families. Leadership from the Louisiana Department of Public Safety have taken key roles in this amazing charity.

  • Printing boarding passes: Guests may use the computers in the Business Center on the 2nd floor to print complimentary boarding passes. Guest room keys are required to gain access to the business center.
  • Internet: IRP guests will receive complimentary internet access in guest rooms. The access code will be provided from the Front Desk at check-in.
  • Check-in and check-out times: Check-in is 3 pm; check-out is 12 noon.

Westin New Orleans Canal Place

  • Printing boarding passes: Boarding passes can be printed for free in the Business Center on the 12th floor.
  • Internet: Daily charge for in-room internet is $12.95. Starwood Preferred Guest level members have the option to choose complimentary internet as their amenity for their stay.
  • Check-in and check-out times: Check-in is 3 pm; check-out is 12 noon.

Attire

Dress for the 2012 conference is business casual attire. As individual preferences on room temperature vary, IRP recommends dressing in layers to maintain preferred comfort.

 

ADA Accommodations and Food Allergies

Accommodations: Please contact IRP Mail if there are additional accommodations we may provide so you can fully participate in the meeting.

Food Allergies: If you have any food allergies or other restrictions, please notify us by emailing IRP Mail.

Post-Conference: How Will Your Office Use the  Information?

Before you even pack your bags, think through how you will share the knowledge gained from the conference to your colleagues. For example, consider giving a presentation at your office – either about a particular session or the conference in general. Talk with colleagues beforehand to find out specific questions or concerns for which they would like additional resources and information. Consider any particular contacts within jurisdictions or industry that might be helpful to your work in the future.
