Meeting Materials

Many of the meeting materials and agendas are available online on the 2013 Annual Meeting Handouts page.  Don’t forget to review and download any items you would like to have with you at the meeting, as copies will not be provided on-site.  

Materials include information about proposed ballots, a proposed change to the articles of incorporation, and the International Non-Apportioned Commercial Vehicle Agreement, which will all be discussed during the meeting. Also posted are "Roundtable Topics and Questions,” available for you to prepare for those discussions. Feel free to bring examples from colleagues to share.

Transportation from Airport

Options for transportation from the airport:

  • Go Express Travel: $10 each way
    • Downtown Indy Express – GO Green Line Airport Shuttle
    • Hours 8 am – 11 pm; buses run every half hour
    • Stop at the downtown Hilton stop in the Circle Drive out front on Illinois Street (Bus Stop 4 Location)
    Carey Indiana: $15.95 each way
    • Cost of $16.95 + gratuity, discounted by $1.00 for IRP meeting
    • On the homepage, type in the discount code "convention” in the field "Group, Promotions, Corporate or User ID”; leave the departures/arrivals fields blank; and click "Go.” On the next screen, choose either "one-way” or "round trip” under "arrivals”. The drop off location is the Hilton Indianapolis Market Street or the Embassy Suites Downtown.
    Taxi: $35-40 each way
    • IRP-Funded Attendees: As the taxi is around twice the cost of the shuttle and shared ride service options, reimbursement will only be made for shared taxi rides with an IRP-funded colleague. Otherwise, reimbursement will be for just the cost of the shuttle.

Conference Registration

Conference registration will be on the second floor in front of the Indianapolis Ballroom. Registration will be open 2:30 – 7:30 pm (Monday, June 3) and 7:30 am – 5 pm (Tuesday, June 4).

Attendees will receive name badges and conference materials at registration. Please remember that the name badge serves as the ticket to all conference programs and meals. Please wear it at all times and bring it to the opening reception and to breakfasts.


Opening Reception

Be sure to attend the Michael D. "Mick” Ramirez IRP Volunteer of the Year Award Opening Reception on Monday, June 3 from 6:00 to 7:30 pm in the Indianapolis Ballroom Foyer on the second floor. Before heading out to dinner, enjoy light hors d’oeuvres, reconnect with old colleagues and meet new contacts during this opening reception.


Website Kiosk

Confirm your jurisdiction’s website with the International Committee!

The International Committee would like to update jurisdiction website links to ensure the correct link is listed.  The link should direct motor carriers to their jurisdiction’s motor carrier programs and requirements, such as IRP, IFTA, permits, etc. Jurisdiction representatives are encouraged to stop by the Website Kiosk on June 4 to review the current website link on the IRP, Inc. website and confirm its accuracy.


Public Service Project: Donations for Shepherd Community

As part of the 2013 IRP Annual Meeting, IRP will be collecting donations for Shepherd Community.
  • Accepted Donations: See the complete wish list, which includes items such as wet wipes, masking tape, and dry erase markers. Donation checks will also be accepted.
  • About the Organization: Shepherd Community’s mission is to break the cycle of poverty in the second generation. There is a culture of poverty which many children experience in their homes which does not encourage upward mobility and can sometimes be a hindrance to it. It is necessary to work with the whole family and begin to change the culture which can trap families and their children in poverty.
Remember this organization when packing your bags for Indianapolis!

Printing boarding passes: Complimentary printing of boarding passes will be offered at computer stations in the lobby.
Internet: IRP guests will receive complimentary internet access in guest rooms. The access code will be provided from the front desk at check-in.
Check-in and check-out times: Check-in is 4:00 PM; check-out is 12:00 noon.

Embassy Suites

Printing boarding passes: Complimentary printing of boarding passes will be offered at the business center, which is to the right of the front desk and can be accessed with a room key.

Parking

Attendees will receive discounted parking rates of $10 for self-parking and $18 for valet parking with in and out privileges, based on availability. If you are staying at the hotel, parking will be billed to your room at the appropriate rate. If you are not staying at the hotel, ask the IRP registration desk for a coupon.


Attire

Dress for the 2013 meeting is business casual attire.  As individual preferences on room temperature vary, IRP recommends dressing in layers to maintain preferred comfort.


Dietary Restrictions and ADA Accommodations

Accommodations: Please contact IRP if there are additional accommodations we may provide so you can fully participate in the meeting.
Dietary restrictions: If you have any food allergies or other restrictions (i.e. vegetarian or kosher), please notify us by emailing IRP.


Post-Conference: How Will Your Office Use the Information?

Before you even pack your bags, think through how you will share the knowledge gained from the conference to your colleagues.  Talk with colleagues beforehand to find out specific questions or concerns for which they would like additional resources and information. Also consider any particular contacts within jurisdictions or industry that might be helpful to your work in the future.

For example, after the event, you might:
  • Give a presentation to your colleagues, either about a particular session or the conference in general.
  • Brief your supervisor on the meeting highlights.
  • Schedule a time for a Q&A with your colleagues about the meeting’s discussions.
  • Write summaries of particular programs for colleagues.
  • Share handouts from specific sessions with other staff members.
  • Follow up with new contacts gained from the meeting.
