Transportation from Airport
Options include:
•    A taxi from the airport should cost around $30.
•    Airport Express shuttle costs around $25.

IRP-Funded Attendees: As the taxi and the shuttle are around the price, this year IRP will reimburse for either. If you take a taxi and can share it with others, that would be appreciated.

Download this year’s meeting app, allowing you to keep the agenda, networking activities, and sponsor information all in your pocket. The app is compatible with iPhones, iPads, iPod Touches and Android devices.

Meeting Registration
On Monday, May 2, meeting registration will be open 2:30 – 6 pm on the second floor in the Grand Ballroom foyer. Registration hours on Tuesday, May 3 and Wednesday, May 4 will be 7 am – 5 pm.

Attendees will receive name badges and conference materials at registration. Please remember that the name badge serves as the ticket to all conference programs and meals. Please wear it at all times and bring it to the opening reception and to breakfasts.

Opening Reception
Be sure to attend the Michael D. "Mick” Ramirez IRP Volunteer of the Year Award Opening Reception on Monday, May 2 from 6:00 to 7:30 pm in the Venetian Room on the 14th floor. Before heading out to dinner, enjoy light hors d’oeuvres, reconnect with old colleagues and meet new contacts during this opening reception. If you are coming to Oklahoma City with a spouse, family or other traveling companions, they are welcome to attend.

Dietary Restrictions and ADA Accommodations
Accommodations: Please contact IRP ASAP if there are additional accommodations you would like to request so you can fully participate in the meeting.
Dietary restrictions: If you have any food allergies or other restrictions (i.e. vegetarian or kosher), please notify IRP ASAP and we will try to accommodate.

Networking Activities
Plan to take advantage of opportunities to get to know your IRP colleagues outside of the meeting agenda! Volunteer "Meeting Ambassadors” are organizing a variety of optional activities this year. See the list

Note that if you would like to attend the baseball game Tuesday night, you will need to purchase your ticket ahead of time.

Meeting Materials

The revised agenda, agendas for committee meetings, and other meeting materials are available online on the 2016 Annual Meeting Handouts page. If you would like to refer to these onsite, please download ahead of time; onsite copies will only be provided of the agenda, not of other materials. If you would prefer to download onsite, there will be complimentary wifi that IRP, Inc. is able to provide in 2016 due to a special arrangement with the hotel. Note for future years that this is not something we’re typically able to provide.

Jurisdictions: Plan for Roll Call

For this year’s roll call at the opening session, each jurisdiction will be called on. If you have more than one jurisdiction representative, please determine who will get the microphone to confirm attendance and introduce all attendees from the jurisdiction.

Hotel Information

Printing boarding passes: Complimentary printing of boarding passes for hotel guests will be offered at the computer kiosks in the lobby.
Internet: Guests will receive complimentary internet access in guest rooms.
Check-in and check-out times: Check-in is 3 pm; check-out is 12 noon.
Parking: Nearby options are:

  • Valet parking at the hotel is $26 for overnight and $12 for daily. Parking spaces are limited and available on a first come, first served basis.
  • Sante Fe Parking Garage, 2 Santa Fe Plaza. $2.00/hour for the first hour and $1.00/hour after that, with a maximum of $10.00 a day.  They allow overnight parking.
  • Main Street Parking Garage, 119 Main Street.  $3.00/hour with a maximum of $12.00 per day.  They allow overnight parking.   

Attire
Dress for the 2016 meeting is business casual attire.  As individual preferences on room temperature vary, IRP recommends dressing in layers to maintain preferred comfort.

Per Diem
For those who refer to them, the per diem rates for Oklahoma City are $13 for breakfast, $15 for lunch, and $26 for dinner.
